We prepare your karta pobytu application in MOS, handle the case at the voivodeship office under a power of attorney and prepare the financial documents ourselves.
Legalising your stay in Poland is now almost entirely electronic: the application for a temporary residence permit (zezwolenie na pobyt czasowy) is filed in the MOS system and signed electronically, and you give your fingerprints in person at the voivodeship office. We prepare the application and attachments, follow the letters from the office and reply to them under your power of attorney. The financial part, certificates from the tax office and ZUS, we do ourselves, because we keep the books.
What we help with
- Karta pobytu (temporary residence permit). Based on work, a business (JDG or spółka), studies or family. We check the basis, collect the documents and fill in the application in MOS.
- CUKR card. For people with UKR status: we check the four conditions and help file the application in MOS by 4 March 2027. Details in the article CUKR card and JDG.
- PESEL, profil zaufany, meldunek. We help you get a PESEL and profil zaufany, add a new passport to your PESEL data and register your address.
- Permanent residence and EU long-term resident. We check whether you have 5 years of legal stay, stable income and insurance, and prepare the documents. The Polish B1 language exam you take yourself.
- Documents for employers. Notification of work of a Ukrainian citizen, oświadczenie o powierzeniu pracy, work permit. Details on the page hiring foreigners.
- Letters and decisions. We reply to requests for additional documents, prepare a ponaglenie if the case is stuck and an appeal (odwołanie) against a decision within 14 days.
How it works
- A short call: on what basis you are in Poland, when your current document expires, whether you have a JDG or a job.
- A list of documents for your situation. You send them as photos or scans.
- We fill in the application in MOS and you sign it with profil zaufany or another electronic signature. We keep the UPO, the proof of filing.
- You sign a power of attorney (pełnomocnictwo), and from then on we handle the correspondence with the office. Fingerprints and collecting the card you do in person.
- We watch the deadlines for replies and tell you about the decision.
Why an accounting office
When your basis of stay is work or a business, the office looks at money: income, taxes and contributions paid, no debts. If we keep your books, certificates from the tax office and ZUS, extracts from the books and returns are ready without extra trips, and the figures in the application match your reporting. More on the financial part on the page residence card through a business.
What we do not do
We are an accounting office, not a law firm of advocates or legal advisers. We do not represent clients in court, including the voivodeship administrative court in a complaint against a decision or inaction of the office. The permit is decided by the voivode, so we do not promise timing or outcome. If your case needs an adwokat or radca prawny, we will tell you in advance.
Cost
The cost depends on the type of permit and how many documents need to be collected. We will name it after a short call, before any work starts. The official fees for the permit and the card you pay yourself to the office account.
Residence card through your own business: conditions
A permit to stay for running a business is granted if the company meets one of the conditions of art. 142 of the Act on Foreigners:
- income for the previous tax year of at least 12 average monthly salaries in your voivodeship;
- or at least 2 full-time employees on indefinite contracts for at least 12 months before the application;
- or funds and actions that will allow these conditions to be met in the future: investment, technology transfer, new jobs.
For a management board member of a spółka the conditions are the same, but the spółka has to meet them. This is where bookkeeping matters: income, taxes and ZUS paid must be backed by documents, and the figures in the application must match the reporting.
How we handle the case: step by step
- We identify the basis. Work, your own business (JDG or spółka), studies, family, CUKR or permanent residence.
- We list the documents. For your basis and your voivodeship, with translations where needed.
- We fill in the MOS application. You sign it electronically, and we keep the UPO as proof of filing.
- We handle the case under a power of attorney. We reply to requests, send missing documents and watch the deadlines.
- We tell you about the decision. Fingerprints and collecting the card you do in person at the voivodeship office.
Documents usually needed
- Passport, photo and proof of paying the official fee.
- Proof of address, for example a lease.
- Health insurance, including through ZUS.
- For a business: CEIDG or KRS extract, PIT or CIT returns, ZUS DRA, certificates of no arrears from the tax office and ZUS.
- For a job: employer documents and the contract.
Frequently asked questions
Can I get a residence card through my own JDG?
Yes, if you have the right to a JDG and the business meets art. 142: the required income for last year, employees, or a plan for meeting these conditions.
Does a work-based residence card let me open a JDG?
No. But with such a card you can found a spółka z o.o.
Who files the application?
You sign the application electronically in MOS. After that our representative can handle the case under a power of attorney, and you give fingerprints in person.
Can I file a karta pobytu application on paper?
No. Since 27 April 2025 applications for a temporary residence permit are filed only electronically, in MOS. You need a MOS account and an electronic signature: profil zaufany, podpis osobisty or a qualified signature.
Is my stay legal while the application is processed?
Yes, if the application was filed during a legal stay and has no formal defects: your stay is then legal until the final decision. Travel outside Poland during that time is best discussed in advance.
Which is better: CUKR or a residence card through a business?
It depends on your situation. CUKR is granted only with continuous UKR status, and getting another permit ends UKR status. We will show you the conditions and deadlines of both routes, and the choice is yours.
Do you only work with Ukrainian citizens?
No, with citizens of any country outside the EU who live, work or run a business in Poland.
We are the Polish accounting office of the MK Audit international audit and accounting group. The group’s audit practice has worked in Ukraine since 2000; in Poland we provide accounting and HR only. We work online across Poland and meet in person in Warsaw.
Tell us on what basis you are in Poland now and until when your document is valid, and we will tell you which route is possible and which documents you need.
